Information we collect
We only collect what we need to respond to you and provide our services.
- Contact details you give us, such as your name, email address, phone number and address.
- Details about the service you are requesting, entered in quote, booking or contact forms.
- Technical data such as browser type, device and pages visited, collected through cookies you allow.
- Records of our communications with you, including calls, emails and messages.
How we use your information
We use personal information to:
- Respond to enquiries and prepare quotes or appointments.
- Deliver, schedule and follow up on the services you request.
- Send service reminders and, where you have agreed, occasional offers.
- Improve our website and meet our legal and regulatory obligations.
Sharing
We do not sell your personal information. We share it only with trusted providers who help us run our business, such as scheduling, payment and email platforms, and only under agreements that require them to protect it. We may disclose information where the law requires it.

Applicant screening data
When you apply for a rental we collect the information needed to run a tenant screening: identity, income evidence, employment, rental history and the results of credit, eviction and criminal background searches carried out by a consumer reporting agency on our behalf.
Screening results are used only to decide the application in front of us, against the written standard published on our tenants page. We do not sell applicant data and we do not use it to market other services to you.
- If an application is declined in whole or part because of a consumer report, you are entitled to an adverse action notice naming the agency and telling you how to obtain a free copy of the report.
- Declined application files are retained only for the period our record-keeping obligations require, then destroyed.
- You may ask us what we hold about your application and ask for corrections to inaccurate information.
Owner and trust account information
For property owners we hold the information needed to manage the property and account for client money: ownership and contact details, bank details for owner draws, tax identification for annual reporting, and the lease and ledger history for each managed property.
Client funds are held in a dedicated trust account separate from operating funds and reconciled monthly. Account details are shared only with the bank holding the trust account and with the accountant you nominate.
